When should I use a tag and when should I use a custom field?

Tags

Tags are best used for simple, binary information that is easy to add, filter, and remove. Use Tags when you need to:

  1. Easily Remove a Recorded Value for a Given Person: If you anticipate needing to frequently add and remove a label for your People, Tags are ideal.

  2. Filter the Inbox by a Specific Criterion: Tags allow you to filter your inbox efficiently, so you can see just the conversations with People who have a particular Tag. 

Custom Fields

Custom Fields are more versatile and are used for storing detailed or variable information. Use Custom Fields when you need to:

  1. Record Freeform Content: If you need to capture detailed notes or varied information about a contact, Custom Fields are the way to go. They allow for more flexibility in the type of data you store.

  2. Insert Variable Content in Messages: Custom Fields enable you to personalize messages by inserting specific details about your contacts directly into your communications.

However, be aware that Custom Fields are not always as easy to manage in terms of removal and filtering:

  • Removal of Recorded Values: Unlike Tags, removing a recorded value in Custom Fields can be more complex and not always straightforward -- especially for "Dropdown" or "Select" custom field types. 
  • Inbox Filtering: You can't filter the Inbox by Custom Fields, making Tags a better choice if inbox filtering is a primary need.
